GENERAL DESCRIPTION: The Executive Administrative Assistant serves as a strategic partner to the President & CEO, providing high-level, confidential administrative support in a fast-paced, mission-driven environment. This position functions as a critical liaison between the President & CEO and internal teams, community partners, and key external stakeholders, helping to ensure effective communication, coordination, and follow-through on organizational priorities. The Executive Administrative Assistant also plays a pivotal role in supporting the work of the Board of Directors and its officers, facilitating governance functions and maintaining strong relationships with the board. In addition to managing the day-to-day operations of the executive office, this position is responsible for leading and supporting cross-functional projects and initiatives as assigned, contributing to the overall effectiveness and impact of the organization. This role requires exceptional organizational skills, discretion, attention to detail and the ability to work independently while managing competing priorities with professionalism and poise. 

QUALIFICATIONS: The ideal Executive Administrative Assistant candidate will hold a bachelor’s degree in business administration, nonprofit management, communications, or a related field with 3–5 years of experience supporting executive leadership in a fast-paced, mission-driven environment. Strong organizational, communication and problem-solving skills are essential, along with the ability to manage multiple priorities with accuracy and attention to detail. The candidate must demonstrate sound judgment, discretion with confidential information, and a professional demeanor. 

Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook), virtual meeting platforms (e.g., Zoom, Microsoft Teams), and document management systems are required. Experience with CRM systems is highly desirable. A commitment to the organization’s mission and values is essential for success in this role.  

RESPONSIBILITIES: 

  • Provides high-level administrative support to President & CEO, Officers, Vice Presidents, and other staff as assigned. 
  • Manages incoming and outgoing communications for the President & CEO, including emails, phone calls, reports, follow-ups, and internal correspondence. 
  • Manages the President & CEO’s calendar, schedules internal and external meetings, and prioritizes time and engagements in alignment with strategic goals. Provides daily briefings. 
  • Prepares President & CEO for board & committee meetings; creates folders on server, prepares agendas, compiles previous meeting minutes and any presented documentation required for each specific meeting prior to the President & CEO final review and sending to relevant parties.  
  • Coordinates and provides administrative support at key meetings as assigned (board meetings, executive team meetings, etc.), handles meeting minutes and follow up action items and distributes to relevant board committee chairs or board secretary (meeting dependent). 
  • Assists in the planning and execution of special projects and initiatives as assigned. 
  • Provides back up and support to assist the Finance Department and handles as needed the coordination of work requests (internal and third-party), purchase ordering, gift cards, emails and related correspondence, etc. 
  • Tracks board files, board terms, attendance, committee assignments and key governance documents. 
  • Serves as a primary point of contact and resource for Board Members and officers, ensuring timely and accurate flow of information. 
  • Maintains organized, confidential records of board actions, bylaws, and policy documentation. 

Physical Requirements: 

  • Prolonged periods of working at desk/on computer. 
  • Must be able to lift up to 40 pounds at times.
