POSITION OVERVIEW
This multifaceted position includes strategizing, coordinating and implementing our signature fundraising events with input and guidance from committees, board members and LACASA leadership.
LACASA hosts two signature fundraising events annually: our Garden Tour in July, and the LACASA GALA in September/October. In addition, the agency conducts seasonal and holiday, donation drives, and other agency awareness and fundraising events.
The ideal candidate enjoys working with diverse groups of people—including event sponsors, donors, volunteers, and guests. They have a solid grasp on the creative nuances of event planning as well as the business acumen to assist with producing budget plans and expense/profitability reports. They also will have the ability to work with LACASA staff, committee members, and board members regarding all aspects of special event planning and event fundraising.
This is a full-time position which requires occasional night and weekend hours as required to attend fundraising or awareness events, along with completing event set-up and tear-down duties.
RESPONSIBILITIES
- Collaborate with The Fund Development and Communications Departments leadership to plan, coordinate, manage, and execute special event projects from inception to completion.
- Communicate mission/programs to potential donors, vendors, sponsors, and supporters.
- Oversee the acquisition, cultivation, and completion of sponsorships for LACASA’s two main events.
- Assist with preparing event revenue/expenditure reports to ensure pre determined budgets are met; process purchase orders & invoices.
- Communicate with venues and vendors regarding event staging, entertainment, emcees & speakers; catering, equipment, technical, audio/video, and logistical needs.
- Complete local and state permit documents and application forms for liquor licenses and raffle licenses.
- Help oversee special event committees by scheduling monthly meetings, creating agendas, maintaining committee/subcommittee member contact lists, sending out meeting notices in a timely manner, and directing meetings; prepare, assemble and distribute materials for meetings (i.e. copying, mailing, e-mailing).
- Develop event timelines and monitor/meet project deadlines relating to all aspects of event planning and deliverables.
- Work in conjunction with the Communications Department to plan and execute event marketing and promotional campaigns, including print and digital materials; social media; advertising; public relations and media relations; and event materials including sponsorship brochures, tickets, invitations, posters, event programs, table tents, event signage, and sponsor recognition signage/banners.
- Collaborate with Volunteer Engagement Manager to recruit/secure volunteers for special events.
- Track ticket sales and manage guest attendance lists/records.
- Gather and prepare event registration materials/supplies for special events.
- Attend all events; direct and supervise all activities, including coordinating teams of volunteers, board members, and staff; manage all aspects of event set-up and event clean-up.
- Complete timely event follow-up communications with guests, sponsors, donors, and stakeholders; issue guest surveys following major fundraising
- Maintain and create event manuals (action plans and checklists) for all major recurring fundraising events, awareness events, and third-party fundraising events.
- Maintain hard-copy files of all event print materials.
QUALIFICATIONS
- Bachelor’s degree or equivalent professional experience is required, as is proven success in event planning.
- Must be people-focused and professional, as a primary responsibility of this position requires regular interaction with LACASA supporters, sponsors, donors, vendors, volunteers, staff, and board members.
- Candidate should be detail-oriented, organized, possess excellent time-management skills, and possess the ability to work well independently and in a group.
- Excellent interpersonal, writing and oral communication skills are essential.
- Strong computer proficiency is required in Microsoft Office Suite; experience with database/donor management systems is preferred.
- Must have valid driver’s license, reliable transportation, and be able to lift and carry up to 20 pounds.
- Experience working with a nonprofit organization is highly desirable.
