GENERAL DESCRIPTION: The receptionist plays a crucial role in ensuring the smooth operation of the LACASA Offices by greeting, providing direction and information to clients, staff, visitors, and other guests of LACASA. Promotes safety, cleanliness and organization of the front desk and related public facing spaces. Provides administrative and clerical support as necessary.
QUALIFICATIONS: High school diploma or equivalent preferred. Previous office/related experience preferred. Excellent interpersonal and customer service skills required. Basic understanding of administrative processes and clerical procedures and systems required. Proficiency with Microsoft Office Suite or related software and multi-line phone system necessary. Strong organizational skills and attention to detail will benefit this position. Must be able to pass a drug screen test.
SCHEDULE: The core schedule will consist of five 4-hour shifts per week; M-F/ 9:00 a.m.–1:00 p.m.
In addition to the regular schedule, flexibility is required to provide occasional coverage for the full-time Receptionist during scheduled days off, training, vacation, meetings, special events, or other periods when additional front-desk coverage is needed. The ability to adjust hours or work an alternate shift with reasonable advance notice is an important part of this position.
The ideal candidate will be dependable, flexible, and comfortable working in a dynamic environment where schedules may occasionally change to meet the needs of the organization and the individuals we serve.
RESPONSIBILITIES include but are not limited to the following:
- Greets clients, visitors and guests with warmth and sincerity; identifies visitor’s purpose and directs or escorts them to appropriate location.
- Answers, screens, and directs phone calls to staff; takes messages and schedules appointments if necessary. Responds to inquiries from the public, providing accurate information about LACASA’s services and programs.
- Operates onsite security systems to allow access to the building, monitors security cameras, and responds to any security concerns appropriately. Adheres to established security protocols to ensure the safety of all clients, staff, and visitors.
- Sorts and distributes incoming mail, and processes outgoing mail and shipments.
- Receives and documents, packages, and courier deliveries; distributes as appropriate.
- Provides back-up administrative and clerical support as requested, to include, but not limited to; filing, data entry, faxing, copying, shredding and recordkeeping.
- Assists with special projects and overflow work as needed.
- Processes approved donations and ensures tracking, notifies appropriate staff/departments, and distributes accordingly.
- Trains volunteer reception positions.
- Maintains organization of mail counter, copy center, supplies closet and front desk.
- Secures necessary supplies and equipment for the reception desk.
- Maintains the cleanliness and organization of the reception area and related common spaces.
- Adheres to LACASA’s confidentiality policy as it relates to shelter residents, clients and all aspects of agency operations; records, reports, and discussions.
PHYSICAL REQUIREMENTS:
- Prolonged periods of time behind a desk; working on a computer, answering phone/transferring calls and operating security system.
- Occasionally required to lift items weighing up to 15 pounds.
- Must be able to see the images on the security cameras.
